Privacy Policy

How Ardent and its authorised representatives collect, use and protect your personal information.

1. About this policy

This policy applies to Ardent Risk Management Group Pty Ltd ABN 93 667 752 061, AFSL 550275 (Ardent), and its authorised representatives when they provide insurance services under Ardent’s licence.

“We”, “us” and “our” means Ardent and the authorised representative you deal with. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. What we collect and how

We collect the information we need to advise you, arrange and manage your insurance and help with claims. This includes your contact and business details, details of the property and risks to be insured (including valuations and invoices), your insurance and claims history, and payment or premium funding details. Where an insurer needs it, we may collect sensitive information such as health information, but only with your consent or as the law permits.

We collect most information directly from you, including through our website enquiry forms and online scheme platforms (section 5). We may also collect it from insurers, premium funders, loss adjusters, other intermediaries or people authorised to act for you.

3. How we use and disclose it

We use your information to provide advice, obtain quotes, arrange and manage your insurance and premium funding, help with claims, meet our legal obligations and improve our services. To do this we may disclose it to insurers and underwriting agencies, premium funders, loss adjusters and others involved in a claim, our service providers, and regulators or others where the law requires. Insurers may pass information to their reinsurers. We do not sell your personal information.

We may send you newsletters and updates about our services. You can opt out at any time.

4. If you do not provide information

If you do not give us the information we need, we may not be able to arrange your insurance or help with a claim. You also have a duty to give insurers the information relevant to their decision to insure you.

5. Website enquiry forms, scheme platforms and AI

Our websites have a “Get In Touch” enquiry form that collects your name, business name, contact details, postcode and enquiry so we can respond to you. Some insurance schemes we arrange have online platforms where you can request a quote and upload documents. Information and documents submitted through these platforms are stored by a cloud provider in Singapore.

We use an AI tool to read valuations, invoices and similar documents and extract details such as item descriptions and values. Our staff review this information before it is used for advice or a quote. The AI provider may only use your information to provide the service to us, not to train its models. If you prefer that AI is not used on your documents, let us know and we will process them manually.

We do not use computer programs, including AI, to make decisions that significantly affect you without a person being involved.

6. Overseas disclosure

Your information may be disclosed to or stored in other countries, including Singapore (scheme platform storage), the United States (where our AI tool processes information), the Philippines (our administrative support staff), the United Kingdom (if we approach Lloyd’s underwriters) and other countries where an overseas insurer we recommend is located. We will tell you where an overseas insurer is located when we advise you. Reinsurers may be located anywhere in the world. We take reasonable steps to ensure overseas recipients protect your information.

7. Security and retention

We take reasonable steps to protect your information from misuse, loss and unauthorised access. We keep it only as long as needed or required by law, then securely destroy or de-identify it. If a data breach is likely to cause you serious harm, we will notify you and the OAIC.

8. Access and correction

You can ask to access or correct the information we hold about you by contacting our Privacy Officer. We will respond within 30 days. If we refuse, we will tell you why in writing.

9. Website cookies

Our websites use cookies and analytics to understand how visitors use them. This information does not identify you personally. You can set your browser to refuse cookies.
